Your Firmdesk plan¶
Your firm pays for Firmdesk by the month or by the year, by card. Settings › Firmdesk plan shows your plan, your next invoice, your seats and your storage. Owners and admins find it in their Settings, and choose the plan and manage it. The rest of the team reaches it from See the plan, in a banner about the plan.
The plans¶
- Solo: $49 a month or $490 a year, for 1 person.
- Team: $149 a month or $1,490 a year, for up to 5 people.
- Firm: $299 a month or $2,990 a year, for up to 15 people, plus the portal on your own domain and engagement letters (below).
Prices are in Canadian dollars. GST or HST is added for your firm's province: the page says which, and its rate. Paying yearly costs 10 months' price. Every plan has unlimited clients and portal users, and 50 GB of storage. Pricing, on our website, lists what each plan includes.
Choose a plan¶
A new firm chooses its plan right after it's set up. Until it has, the pages for the firm's work, such as Today and Clients, lead back to Firmdesk plan. Owners and admins:
- Go to Settings › Firmdesk plan. Under Choose a plan, each plan has two buttons, such as Monthly, $149 and Yearly, $1,490.
- Click the one you want. Stripe's payment page opens: enter your card and your billing address.
- Stripe brings you back to Firmdesk plan, which now shows your plan.
If the buttons can't be clicked, the page asks for your firm's province first: add it in Settings › Firm settings. The sales tax on your plan follows it.
Have a code from us? Click Have a code?, type it and click Apply before you choose your plan.
Your card and your free days¶
You give your card when you choose a plan, and nothing is charged until the free days end: 14 days free before your first charge. Cancel before and you pay nothing. After that your plan renews by itself, every month or every year, until you cancel it.
- The free days come with your firm's first plan. A code from us can change their number, and a firm that another firm referred gets 30 more (Referrals). Choose a plan says how many days nothing is charged for, before you give your card.
- During your free days you have what your plan includes: its number of people and, on the Firm plan, the portal on your own domain and engagement letters.
- Once you've chosen, the page says Free until and the date, then First charge with its amount, tax included. After the first charge, the same line reads Next invoice.
Seats¶
Each plan allows a number of people on your team: its seats. The page counts them, such as "3 of 5 seats used".
- Someone you've invited takes a seat, even before they choose their password. Inactive people don't take one.
- When every seat is taken, Add team member opens a page that says so, instead of its form. Choose a plan with more seats, or make someone who no longer works at the firm inactive: on their page, click Edit and turn off Active. Making an inactive person active again needs a free seat too.
- Your clients and their contacts never take a seat.

What the Firm plan adds¶
- The portal on your own domain, such as portal.yourfirm.ca, in Settings › Portal address.
- Engagement letters your clients sign in the portal (Engagement letters).
- Up to 15 people.
Everything else is in every plan. On Solo or Team, Letters and Portal address say that these come with the Firm plan, with See the plans.
Change plan¶
For owners and admins, while the plan is active:
- On Firmdesk plan, under Change plan, click the button for the plan and the way of paying you want, such as Yearly, $1,490.
- The next page says what changes: the price, the number of people, your extra storage, and what's charged or credited. Nothing changes until you confirm.
- Click the button that names the plan, such as Change to Team.
What a change does:
- A bigger plan is charged now for what's left of the period, less what's left of your current one. A smaller one is credited to your next invoices.
- Changing between monthly and yearly starts a new month or year that day. It's charged now, less what's left of the period you paid for.
- On a plan with fewer seats than you have people, you keep them all, and can add someone once you're under its number.
- Off the Firm plan, the engagement letters you sent stay under Letters, and your clients can still sign them; new ones can't be sent.
- Your extra storage stays, billed monthly or yearly as the plan is.
Stripe charges the card it has for your plan, and emails the receipt. If the payment doesn't go through, a page says so and nothing changes yet: Pay invoice opens Stripe's page for it. The change is made as soon as it's paid, if that's within 23 hours; after that, nothing changes. You can also update your card with Manage billing and change plan again.
Change plan isn't offered while the plan is paused, cancelled or waiting for a payment.
Extra storage¶
Every plan includes 50 GB for your firm's documents and the emails in its Inbox. It's fair use: nothing is blocked, and uploads keep working past it. Storage, on Firmdesk plan, shows how much is used.
- At 80% and at 100%, the page shows a banner and your firm's owners get an email. At 100%, Documents says so too.
- On a paid plan, owners and admins add storage in blocks of 10 GB, at $10 a month each, or $100 a year on a yearly plan, plus GST or HST. Type the number of blocks in Extra storage, in blocks of 10 GB and click Update storage.
- More blocks are charged now for what's left of the period. Fewer are credited to your next invoices.

Manage billing¶
Manage billing opens Stripe's page for your firm, then brings you back. There you:
- change the card your plan is charged to;
- see and download your invoices;
- change the email, name, address and GST/HST number on them.
Pause or cancel¶
Owners and admins: on Firmdesk plan, click Cancel or pause. The page asks Why are you leaving?, then offers both.
Pause instead¶
Choose 1, 2 or 3 months under Pause for, and click Pause the plan.
- Nothing is charged while the pause lasts, and the firm is read-only (below).
- The plan resumes by itself when the pause ends. Resume the plan ends it sooner.
- The period you paid for runs on during a pause. If a renewal falls in it, a new period starts, and is charged, the day the plan resumes.
Cancel¶
Click Cancel the plan.
- The plan keeps working until the end of the period you paid for: the page gives the date. Until then, Keep the plan undoes the cancellation.
- Cancel before your first charge and you pay nothing.
- After that date the firm is read-only, and 90 days later its data is deleted for good (below). Export your data first: a copy of everything, as spreadsheets and the documents themselves (Exporting your data).
- A yearly plan cancelled within 30 days of paying for it is refunded in full: write to us at support@firmdesk.ca. Otherwise the period you paid for isn't refunded.
A paused plan is cancelled the same way, with Cancel the plan.
If a payment fails¶
A banner at the top of every page says the payment failed, and the plan shows Payment failed. Click Manage billing and update your card: the payment is tried again.
What happens meanwhile depends on how long ago the payment failed:
- Less than 7 days: everything works, for your firm and in your clients' portal.
- From 7 days: the firm is read-only. Your clients can look at their portal and pay your invoices, but not send anything.
- From 21 days: the firm is locked, and your clients' portal is closed.
The banner gives the dates. Once the plan is paid, everything works again.
Read-only and locked¶
Read-only: every page opens and you can export everything, but nothing can be changed. Saving something leads to Firmdesk plan, which says why. Meanwhile:
- your clients can open their portal, and pay your invoices online if you take payments there, but can't send anything;
- automatic reminders to your clients aren't sent, recurring invoices aren't made, and automations don't act.
A firm is read-only while its plan is paused, from 7 days after a failed payment, and once its plan or its trial has ended.
Locked: only paying and exporting are left. Firmdesk plan, Export and delete and your own account still open; the pages for the firm's work lead to Firmdesk plan. Your clients' portal is closed. A firm is locked from 21 days after a failed payment, until it's paid.
After a plan ends¶
When a plan you cancelled reaches the end of its period, or a trial ends without a plan, the firm is read-only for 90 days.
- You can see and export everything in that time. The banner at the top of each page gives the date the data is deleted.
- Choose a plan before that date, and everything works again.
- Your firm's owners are emailed two weeks before the date. On it, the firm's data is deleted for good: its clients, documents, invoices and everything else.
A firm that was set up and never chose a plan is deleted the same way, 90 days after it was set up, with the same email two weeks before.
A trial, a free plan, a sample firm¶
- Trial: a trial Firmdesk gives your firm needs no card, and has every feature and up to 15 people until its date, which the page gives. In its last 10 days, the sidebar counts the days left. Choose a plan before it ends to keep working.
- Free: when Firmdesk is free for your firm, the page says so, and there's nothing to pay.
- A sample firm has no plan and needs no card. It's deleted 30 days after it was made (Getting started).
Good to know¶
- Your Firmdesk plan is what your firm pays us. What your clients pay your firm is in Online payments.
- A founding firm's page shows its 30% off, which applies at checkout and for as long as it keeps its plan.
- Asking for your firm to be deleted, in Settings › Export and delete, also cancels its plan from the end of the period you paid for, so nothing more is charged.
