The client portal, as your clients see it¶
Your accountant's firm uses a secure client portal to share your documents, ask for what it needs and show your deadlines. Here's how to use it.
Sign in for the first time¶
- Open the invite email from the firm and click Choose your password.
- Choose a password of 12 characters or more, then click Choose password and sign in.
The link works once, for 3 days. If it has expired, click Forgot your password? on the sign-in page to get a new one.
Sign in after that¶
- Open the portal's sign-in page, from a link in one of its emails or the address the firm gave you.
- Enter your Email and Password, then click Sign in.
- When asked, enter the 6-digit code emailed to you and click Continue. The code works for 10 minutes.
On a phone or computer that's yours, tick Trust this browser for 30 days to skip the code there. No code? Look in your junk folder, or click send a new code.
Forgot your password? Click Forgot your password?, enter the email you sign in with, and click Email me a link. The link works for 3 days.
Your overview¶
Overview is the first page you see. The first time, a short welcome explains the portal: Got it closes it. Below any message from the firm, you'll find a box to send documents, then:
- What we need from you: your to-dos, and documents waiting for your approval.
- What we sent you: the latest documents, and how many are new.
- Deadlines and Invoices, if the firm shows them.
On a phone, the portal's sections are in a bar at the bottom of the screen.
Complete your to-dos¶
Once the firm asks you for something, To-dos lists what it needs, item by item, with the date it's needed by and how much is done.
- Documents: choose files or drop them in the box, then click Send.
- Information: give Your answer (text, yes or no, a date, a number or an amount), then click Save answer.
- To do: do it, add a note or files if they help, then click Mark as done.
Each item is saved as you finish it, so you can do a bit at a time. The firm then reviews it, and marks it Accepted. If the firm sends an item back, its note says what's missing. You can change an answer or send more files at any time.
Open and approve your documents¶
Documents lists what the firm shared with you, by year and then by service, and what you've sent. Search, or choose a year or a kind of document. A document is marked New until you open it. Click Open to view it, or Download.
When a document says Needs your approval:
- Open it and review it.
- Click Approve. Or click Request changes, say What needs to change?, and click Send.
Approving tells the firm you've reviewed it and it's complete and accurate as far as you know.
Send documents¶
- On the Overview, drop files on Send us documents, or click it to choose them. On a phone, Take a photo opens the camera.
- Click the Send to button, which shows the firm's name.
To say what the documents are for, click Send documents on the Documents page instead. Choose What is it for? and Which year?, add a Note for us if you like, and click Send.
Sent by you lists what you sent, and shows when the firm has opened it.
Deadlines, invoices and your profile¶
- Deadlines: what's coming up and what was done in the last year, as a List or a Calendar. You handle this marks what's yours to do.
- Invoices: the firm's invoices and what's left to pay. Open one to Print or save as PDF.
- Profile: your details as the firm has them, its services for you and your team there. Something changed? Tell the firm.
Your account and emails¶
Click your initials at the top of the page, then Your account, to change your name, email or password, or to Sign out everywhere else. Under Emails, turn Email me about my portal on or off, or choose One email a day to get new documents and to-dos together at the end of the day.
If you can see more than one client, use the Viewing menu at the top of the page to switch between them.
Good to know¶
- You can send PDFs, photos, spreadsheets and other documents, up to 50 MB each and 95 MB at once.
- Your documents are kept on servers in Canada and are never attached to emails. You open them in the portal, after signing in.
- You're signed out after 2 hours without activity.
- Some sections show only if the firm turned them on.
Your sign-in code is yours alone
Nobody at the firm will ever ask you for it. If a code arrives when you weren't signing in, someone has your password: choose a new one with Forgot your password?.
